What you’ll do: As an Administrative Assistant, you’ll be the first point of contact for our office and an important support partner for employees, managers, and visitors. Your day will include a mix of reception, coordination, and administrative tasks, such as:
Greeting visitors, answering phones, and supporting day-to-day office needs.
Coordinating meetings, events, luncheons, and celebrations across multiple offices.
Assisting with project specification documents using SpecLink software.
Supporting office security, employee status tracking, and key management.
Keeping office and breakrooms stocked, organized, and welcoming.
Maintaining petty cash, receipts, and accounting coordination.
Welcoming new hires and helping them get settled with office tools and systems.
Serving as or becoming a notary public (BHB covers sponsorship fees).
What you’ll bring:
High school diploma or GED
At least one year of administrative experience
Valid driver’s license and ability to travel locally when needed
Strong communication and organization skills as well as a sense of professionalism
Ideally, you will also have:
Proficiency in Microsoft Office (Word, Excel, Outlook, Teams) and Adobe
Design experience in Canva
Experience with SpecLink
Position Type, Schedule, and Physical Demands This position is part-time, non-exempt, with the expectation of working 30 hours a week, with coordinated flexible scheduling options. This role requires accurate logging of hours (in accordance with BHB’s time-tracking policy) and the ability to adjust hours or schedules based on project needs and deadlines. BHB’s operating hours are Monday through Friday, 8am - 5pm. BHB offers flexible scheduling options, including five 8-hour days or four 9-hour days with a half day on Friday morning. While the start and end times of the workday can be adjusted, employees are expected to establish and maintain a consistent schedule which must encompass the core business hours of Monday through Thursday 9am – 4pm, and Friday 9am – 11 am. This position is primarily sedentary with long periods of sitting, with occasional moving around the office including pulling and lifting to 25 lbs. Occasionally bending, squatting, and reaching overhead will also occur. Additionally, frequent typing and computer use is required daily.
